How to Check Company Reliability in China? | İthalat Ofisi
Examine commercial registry, production capacity, documents, references, samples, and on-site audit processes to check the reliability of a Chinese manufacturer or supplier.
Published:
Sourcing products from China can provide significant price and production advantages when working with the right company. However, orders placed without sufficient due diligence on the supplier can create serious risks such as fake companies, missing products, quality problems, incorrect documents, delivery delays, or loss of payment.
The fact that a supplier has a website, participates in trade fairs, or offers a professional product catalog does not by itself prove that it is reliable. Before placing an order, the company's legal status, production capacity, product documents, and actual activities should be evaluated together.
Is the company you are considering working with in China really reliable?
Before making payment and placing an order, have the company's commercial registry, production capacity, and documents checked.

1. The Company's Commercial Registry Should Be Checked
At the first stage, it should be examined whether the supplier is a legally registered company in China.
The main information that should be checked is as follows:
- The company's official commercial name
- Business registration number
- Date of establishment
- Registered company address
- Legal representative information
- Registered capital
- Scope of activity
- Whether the company is active, suspended, or closed
The English company name used by the supplier and the official Chinese company name may be different. Therefore, an evaluation should not be made solely based on information on an Alibaba profile, website, or business card.
There must be consistency between the company name on the proforma invoice, the bank account holder, the commercial registry owner, and the company signing the contract.
In particular, a request for payment to a different company's account or a personal bank account is an important risk indicator.
2. It Should Be Determined Whether It Is a Manufacturer or a Trading Company
Although many companies in China present themselves as manufacturers, in reality they may be trading companies that source products from other factories.
Working with trading companies is not always negative. Some trading companies can provide advantages in terms of product variety, export experience, and order management. However, the importer needs to know the actual role of the company they are dealing with.
To understand whether the company is a manufacturer, the following points can be examined:
- The company's registered scope of activity
- Factory address
- Production line images
- List of machinery and equipment
- Number of employees
- Production permits
- Factory audit reports
- Raw materials and production processes
- Production and packaging capacity
Factory photos on a website are not sufficient on their own. The possibility that the photos belong to other companies should also be evaluated.

3. Production Capacity Should Be Verified
A supplier's ability to send a sample does not mean that it can produce a high-volume order on time and at the desired quality.
Before ordering, the following information should be requested:
- Daily and monthly production capacity
- Current order density
- Average production time
- Production lines used
- Quality control personnel
- Packaging capacity
- Whether subcontractors are used
- Supply time for critical raw materials
If the supplier promises a very short production time, the possibility that the products are sourced from another factory or that quality control processes are skipped should be investigated.
Verifying the real production capacity is even more important, especially for orders involving custom production, logo printing, packaging design, or technical changes.
4. Product Documents and Certificates Should Be Examined
A supplier sending a document or certificate does not mean that the document is automatically valid.
In document control, the following points should be evaluated:
- To which company the document was issued
- Whether the product model and the model in the document are the same
- Validity date of the document
- The organization that issued the document
- Test standard and test scope
- Product photo or technical specifications
- Whether the document number can be verified
- Whether the certificate covers only a part or the final product
For example, for a product with a CE mark, merely using the CE logo is not sufficient. Depending on the product, a declaration of conformity, test report, technical file, and documents of compliance with relevant legislation may be required.
It should also be checked whether the supplier is using a test report belonging to another manufacturer.
Before the product arrives in Turkey, TAREKS, CE, surveillance, permission, registration certificate, or other import regulations should also be evaluated separately. Our GTIP (HS Code) and Customs Risk Assessment service provides support on this matter.

5. Company References Should Be Investigated
Information may be requested from the supplier about customers it has previously worked with or the countries it exports to.
The following points are important in reference evaluation:
- Which countries it exports to
- Its experience with similar products
- Long-term customers
- Projects it has previously completed
- Trade fair participation
- Export documents
- Customer feedback
- Complaint records on the internet
However, references provided by the supplier should not be considered sufficient on their own. If possible, the authenticity of the references should be independently verified.
The presence of only positive reviews about the company is also not always an indicator of reliability. The date, content, and whether the reviews were written by real users should be evaluated.
6. A Sample Should Be Obtained Before Ordering
The sampling process is an important stage for evaluating product quality and the supplier's communication performance.
The following checks can be made on the sample:
- Material quality
- Dimensions
- Weight
- Color
- Workmanship
- Function
- Packaging
- Label information
- Logo and printing quality
- Compliance with technical specifications
After the sample is approved, the technical specifications to be used in mass production should be put in writing.
If possible, the approved sample should be kept as a reference sample and compared with mass production products during pre-shipment inspection.
The fact that the sample is high quality does not guarantee that mass production will be of the same quality. Therefore, sample control should be supported by production and pre-shipment inspections. Our sampling process in imports guide provides detailed information on this matter.
7. An On-Site Audit Should Be Conducted
For high-value, custom production, or long-term supply relationships, remote document control alone may not be sufficient.
Through an on-site audit, the information declared by the company can be compared with the actual situation.
During the audit, the following areas are generally checked:
- Whether the factory physically exists
- Production areas
- Machinery and equipment
- Raw material warehouses
- Finished product stocks
- Quality control system
- Number of employees
- Packaging department
- Production capacity
- Occupational safety and general order
- Compliance of documents with the factory
- Use of subcontractors
An on-site audit can also help determine whether the company is only an office or an intermediary company. Within the scope of our China company reliability and product inspection service, we provide on-site audit support.
8. Bank and Payment Information Should Be Verified
Before making payment, bank account information should be carefully checked.
The following situations may be risk indicators:
- The bank account holder being different from the supplier
- Payment being requested to a personal account
- Bank information being changed at the last minute
- A different account being sent via email
- Payment being requested to an unrelated country outside China
- Only cryptocurrency or untraceable payment methods being requested
If possible, bank information should be re-verified with the supplier through a different communication channel.
In particular, last-minute bank changes should be carefully examined against the risk of corporate email account takeover or fake payment instructions.
9. Why Is a China Company Review Important?
Supplier review is not only done to reduce the risk of fraud. It also provides protection in the following areas:
- Reducing the risk of working with the wrong manufacturer
- Detecting quality problems in advance
- Verifying production capacity
- Identifying fake or inappropriate documents
- Preventing delivery delays
- Reducing the risk of payment to the wrong bank account
- Evaluating the compliance of products with import legislation
- Establishing a long-term supplier relationship more safely

10. Check Before Placing an Order
Checking company reliability in China requires conducting commercial registry review, production capacity verification, document control, reference research, sample evaluation, and, when necessary, on-site audit together.
Placing an order based solely on a price quote or an online company profile can cause serious cost and time losses during the import process.
To have the commercial registry, production capacity, documents, and factory status of the Chinese manufacturer or supplier you are considering working with examined, send a China company review request.
